If you need to perform a backup then you need to ensure you have downloaded full copies. The set up determining what is downloaded is set up in the imap Account Settings > 'Synchronise & Storage' setting. If you were to look in the profile folders for the imap account you would only see *.msf files which are an indexing file used by Thunderbird.
It also means you cannot view any of those emails without internet access to the server. This means it does not use up space on your computer for storage. If only headers are downloaded then when you select to read an email, it is retrieved from the server and stored in a temp folder on computer to facilitate viewing.

Imap mail accounts can download just headers or full copies and this can be done on a per folder basis. So it is still occupying space on the server. This can present an issue with a server like 'gmail' as the 'label' will get removed, so no longer appearing the folder, but it may still on server in the 'All Mail' folder. If you 'move' any email from an imap folder to 'Local Folders' mail account, it is usually moved off server.
In effect, the folders on the server are one and the same as the folders in an imap account. Please note imap mail accounts show a view of what is on the server, so imap folders cannot be deemed as a separate independent copy on your computer. So it has a decluttering effect and helps to keep files small providing the 'Archives' folder contains subfolders for sorting/organising eg: by year and folder.Īrchive options are set up on a per account basis. Usually, accounts are set up to contain their own 'Archives' folder, so emails are still stored on server but are no longer occupying the more regulary used folders. Then create an 'Archives' folder in 'Local Folders' mail account. 'Local Folders' mail account refers to an account with emails stored locally on your computer. It is best to keep 'Local Folders' name as 'Local Folders' as 'Archive' is used as a special name folder not an account name. My aim is to delete online copies and move most mails offline. So please tell me where I went wrong, and how I should rather setup my local archive.

Unfortunately, the next day in my Archive folder were only tiny ".msf" files, so it clearly didn't do what I expected. So I have potentially abused them both with the following configuration:ġ) renaming my "Local Folders" account to "Archive",Ģ) setting my custom local folder under "Local Folders" (now "Archive") > "Local Directory",ģ) creating subfolders for each email account,Ĥ) specifying these folders under each "Account Settings" > "Copies & Folders" > "Message Archives" > "Other" > " on Archive" (selecting the subfolder)ĥ) leaving Thunderbird on all night to synchronise I have read the help here but did not find enough explanation regarding Archiving to know whether it is what I am looking for, or intended for a different purpose. I want to delete the emails from the online server and only keep a copy on my local archive. Thanks.Maybe I'm missing something obvious, but I doubt I am the only one with this goal / question! I am trying to archive emails from an online provider to my local PC. PS: if any additional information is needed from me, please let me know.

How can I fix this and why didn't the Thunderbird update smoothly take over the existing map structure from the previous version? So I am still missing half of my archived emails and have too many emails in my inbox. It retrieved all emails from the hotmail server (hotmail inbox and also those in the hotmail subfolders) and it constructed some archive folders and some subfolders. I don't know if this is the correct method, though but now something happened: Then I changed in the account settings the link in the local map to the Archives.sbd. I checked in the AppData\Roaming\Thunderbird\Profiles\Mail the Archives.sbd with all the subfolders still there. But it showed only two profiles for main and local. So, I check on forums for a solution and one direction was to check the profiles in the help/problem solving tab. I am not so experienced in trouble shooting. Also the archive folders with the submap structures are gone. Since then all my emails in my inbox and archive folders have disappeared. Hello, my Thunderbird performed yesterday ,9 November 2020, an automatic update to version 78.4.0 (from 68.12.1).
